Terms & Conditions

Everything you need to know before you book

The terms and conditions as below apply to all Camp Cornwall bookings at Porthpean Outdoor Education Centre (‘POEC’).  Please be advised that separate booking conditions will apply to other booking categories.  Details can be found here.

‘The Company’, ‘we’, and ‘us’ refers to Cornwall Adventure Limited, which trades as Porthpean Outdoor Education Centre/Porthpean Outdoor, and ‘you’ refers to the individual making the booking (‘The Booker’).  Please be advised that Camp Cornwall is a given marketing name for our summer camp package; you are booking with Cornwall Adventure Limited for Camp Cornwall at Porthpean Outdoor Education Centre.

All advertised Camp Cornwall rates and associated prices are inclusive of VAT.

Should an inaccuracy be displayed on our website or within our marketing material, the terms as stated in these booking conditions will prevail.

1. YOUR CONTRACT

(1a) Whilst we specialise in holidays and outdoor experiences for children, we cannot accept a booking from any person under the age of 18.  A booking for Camp Cornwall must be made by the parent/legal guardian of the child/children intending to stay with us.  As you are booking on behalf of a minor (deemed as being a child or young person under the age of 18), it is your responsibility as the Booker to ensure that you have read and fully understood all the booking conditions.  At the time of booking, you will be required to provide the personal details of the child/children intending to stay with us.

(1b) Our acceptance of your initial payment forms a contract between us and you alone.  At this point, it will be deemed by us that you have accepted these booking conditions. No other conditions will apply to this contract unless confirmed by us to you in writing.

(1c) You will be responsible for making all payments and for supplying all information required by us in order to safely accommodate your child/children.  We cannot discuss the booking or enter into communication with any other family member, friend, or 3rd party.  All booking confirmations, notifications, and payment-related correspondence from us will be sent via email. It is your responsibility to ensure all such emails are read and adhered to in accordance with these booking conditions. Unless informed otherwise, it will be deemed by us that all emails have been received and understood. We cannot accept failure to adhere to our booking conditions due to incorrect contact details or emails not being received by you.

2. BOOKING

(2a) To make a booking for Camp Cornwall in advance of 10 weeks of arrival, you are required to make a non-refundable and non-transferable booking deposit payment of 25% of the booking value.  Payment of a booking deposit will ‘reserve‘ your child’s/children’s place at Camp Cornwall.

(2b) After the deposit payment has been paid to reserve your booking, the balance is payable 10 weeks prior to arrival. You will be sent a balance reminder email 12 weeks prior to arrival.

(2c) Payment of your balance in full will ‘confirm’ your booking.

(2d) All bookings made for arrival within 10 weeks of arrival will require the full balance to be paid at the time of booking.

(2e) On receipt of your initial payment we will send you a booking confirmation via email within 24 hours of booking. Your booking confirmation will document the details of your booking and act as an invoice for any outstanding balance. If any details are incorrect, you must advise us immediately. If you do not receive a booking confirmation within 24 hours of booking, please notify us immediately. We cannot accept responsibility for any errors concerning your booking after a period of 48 hours after booking.  Should you arrive on an alternative date to that detailed on your booking confirmation, we reserve the right not to accommodate your booking.

(2f) Booking online will require payment by card. We can accept payment through BACS on request with a telephone booking. Please do not send cash or a cheque as a means of payment. We can only accept one payment per booking.  All credit/debit card details will be stored securely in accordance with PCI-DSS compliance regulations.

(2g) Bookings made through 3rd party websites or Online Travel Agents (OTAs) are subject to their own terms and conditions and payment policies. Bookings made through OTAs, unless detailed otherwise, are accepted by us on a non-refundable and non-amendable basis with payment in full at the time of booking.  Any payment policy advertised by an OTA supersedes our own payment policy for bookings.  We cannot accept responsibility for any incorrect information displayed on 3rd party websites.  Agent rates or voucher promotion rates may differ to those available through booking direct with us.

(2i) Whilst we endeavour to accommodate all special requests, we cannot issue any guarantees.

(2j) We reserve the right to periodically review our rates and prices. Our pricing model may determine a fluctuation in advertised rates in accordance with demand/availability.

3. WHILST STAYING WITH US

(3a) Arrival time at Camp Cornwall is 4pm-5pm on the stated day of arrival. Unfortunately, we are unable to allow entrance to the centre (including our car park) before 4pm.

(3b) Departure time from Camp Cornwall is 12pm on the stated day of departure  We will ask your child/children to vacate their booked accommodation by 10am on the stated day of departure. We will provide luggage storage as required until the day’s programme has been completed.

(3c) Only those named on the booking may stay at Camp Cornwall. In view of security, visitors are strictly prohibited from entering the centre without prior arrangement with Management.  Special arrangements are in place for parental drop-offs/pick-ups.  You will be provided with details of the arrangements prior to arrival.

(3d) Guests use the centre and its facilities at their own risk. The Company cannot accept liability for the loss or damage in respect of personal possessions. Please do consider this point before packing valuable items. All items left in our care are done so exclusively at the risk of the owner.

(3e) We cannot guarantee parking spaces for visiting parents and do not accept the provision of parking facilities as a contractual part of any booking. All vehicles are left at the owner’s risk. We cannot accept any responsibility for any damage caused to a vehicle anywhere on centre grounds.

(3f) All beds are supplied with a bedsheet, duvet and duvet cover, plus 1 x pillow and pillowcase. standard. We do not supply towels.  Please refer to our Kit List for further information.

(3g) Management reserve the right to enter accommodation at any time.

(3h) We do not carry out a daily cleaning service of booked accommodation.

(3i) We ask that any breakages are reported at reception as soon as possible.  We inspect all booked accommodation upon check-out. We reserve the right to impose a charge for breakages which have resulted from wilful damage.

(3j)  Smoking and vaping are strictly prohibited anywhere on centre grounds.    Visting parents are asked to leave centre grounds should they wish to smoke/vape.

(3k) We are unable to welcome dogs at the centre (including school dogs/therapy dogs), other than assistance dogs.

(3l) Lost property is kept for 28 days before it is discarded.

(3m) All bookings are made in good faith. In the unlikely event that accommodation, services, or any advertised activities are made unavailable, we will endeavour to find alternative provision at our centre.  The Company shall not be held liable in the event that accommodation, services, or any advertised activity is not available due to circumstances beyond its control.  We do not accept the provision of any advertised facility or service as a contractual part of any booking.  We cannot accept responsibility for weather conditions/external events outside of our control (‘force majeure’) which may affect enjoyment of a stay with us.  No monies can be returned in this instance.

(3n) We cannot take any responsibility for claims concerning 3rd party activity providers.  Participation is at the participant’s own risk, and we shall not be liable before, during, and after participation. 3rd party activity providers may insist you sign their own insurance indemnity/waiver form.

4. IF YOU CHANGE OR CANCEL YOUR BOOKING

(4a) If, for any reason, you wish to change or cancel your booking, the Booker must inform us in writing from their registered email account. We cannot accept a change or cancellation by any other means.

(4b) Should you be forced to change the details of your booking after the initial booking confirmation email has been issued, an administration charge will be applied to your booking. We reserve the right to change your booked rate to the full tariff rate; any special offer or discounted rate that you may have qualified for at the time of booking may not be extended to the new date.

(4c) Should you cancel your booking at any stage, we regret that no refund will be made available.  All monies paid by you to us are strictly non-returnable and non-transferable.

(4d) Should your child/children decide to leave Camp Cornwall before the booked departure date for any reason, no refund will be available for the remaining night(s).

5. IS THERE ANY WAY MY BOOKING CAN BE TERMINATED?

(5a) We ask for the final balance to be settled 10 weeks prior to arrival.  In the event that the balance payment becomes 7 days overdue, this will be deemed to form a breach of the contract between us, entitling us to treat the booking as cancelled by you.  We will of course communicate with you throughout.  It is important to note that all monies paid to us are non-refundable and non-transferable in the event of a cancellation. Payment schedules and booking cancellations clauses of this nature must be put in place to protect our business. In the event of a booking cancellation, you will receive an email from us to confirm the cancellation of the contract.

(5b) We reserve the right to cancel a booking at our discretion if there is an observed concern or fear over the behaviour of the Booker or a guest within the booking whose behaviour is such that it is likely, in our reasonable opinion, to cause distress, damage, or annoyance to any other customer, employee, 3rd party, or to centre property.  Further details are noted in our Code of Conduct.

6. COMPLAINT PROCEDURE

(6a) We always aim to provide you with the best stay possible. However, in the unlikely event that a problem should arise we kindly ask that you inform us immediately. By following this procedure, you will enable us to deal with the situation effectively and promptly.  We regret that we cannot accept liability for any complaints after you have left Camp Cornwall.

7. DATA PROTECTION & PHOTOGRAPHY

(7a) We will retain the information which you provide at the time of booking. This information will not be passed on to any 3rd parties, other than when required by law.

(7b) We occasionally take pictures/video for promotional purposes, including online and printed material.  If you do not wish to give authorisation for your child/children to appear in any such photography/video, we must be notified in advance.  You will be issued with a Photographic Consent Form as part of your Pre-Arrival form.
